The correct format is the one requested by the employer. When no preference is given, both PDF and DOCX can work when the document is clean and text-based.
When PDF is useful
PDF preserves the visual layout across devices and is convenient for human review. It works best when generated from an editable document rather than scanned as an image.
When DOCX is useful
DOCX is widely editable and can be easier for some systems to parse. It can still cause problems when the document relies on text boxes, floating objects, unusual columns, or complex tables.
Test text extraction
Open the final file and copy text into a plain-text editor. Check whether headings, dates, job titles, and bullets appear in a logical order.
Avoid scanned documents
A resume saved as an image may require optical character recognition, which can introduce errors. Use a normal text export whenever possible.
Use simple file names
Choose a professional filename with your name and the word Resume. Avoid version numbers, special characters, or vague names such as final-final-new.pdf.
Keep an editable source
Maintain a clean DOCX or document source even when you apply with PDF. This makes it easier to tailor the resume for each role without rebuilding it.
